What is KAPS?

KAPS is the web-based Kent
Academic Progress System.
KAPS is used to automatically check a student’s progress in a degree
program. The interactive audit portrays
an audit in both graphic representation, and in a more standard text based
format. The KAPS database is updated
nightly. The new KAPS allows you to

view all

request your declared and/or
“what if” interactive KAPS report on demand
-
allows you to create planned
courses which can be used in your interactive audit to assist in future
planning

This report does not
eliminate the need for advising.
Rather, KAPS and the interactive audit should serve to enhance advising
and encourage student contact with an advisor for further academic and career
counseling.

Who is in KAPS
Most
currently enrolled students will be in KAPS.
If you do not see a declared program on the ‘Request New Audit’ page
please contact your college office for advising.
Viewing Courses –
This displays a
list of any courses that you have in the KAPS database. If there are courses from more than one
institution, that institution can be chosen from the Institutions drop down
box. To view the individual course
information, click on the course.
When viewing
the YR/TM – Year Term of a course –
-
YR – Year = complete 4 digit
year (e.g. 2005)
-
TM – Term = 2 digit code for
the term (e.g. 200506)
o
06 = a fall term
o
02 = a spring term
o
03 = a summer term
If the grade
for the course, located in the grade column, is something other than a letter
grade they represent the following:
-
FT = Future Term Registration
-
CT = Current Term Registration
-
TR = Transfer Course
-
TS = Transient Course
-
MC = Military Credit
-
CB = Advanced Placement Credit
-
CL = CLEP Credit
-
CX = Credit by Exam
-
MS = Military Schooling Credit
-
TC = Trade Competency

New registration
activity, program changes, record changes, etc. processed today will not appear
until the following day. The KAPS
database is updated nightly.


What is an interactive
audit? –
The
interactive KAPS report is a web-based automated degree progress reporting
tool. Coursework is evaluated against
degree requirements to determine progress towards degree completion. The interactive KAPS report allows you to
-
view a graphical
representation of program and requirement completion status
-
view a graphical representation
of GPA by category
-
add planned courses to your
report
-
view course history
Requesting
an audit enables an interactive audit to be run. If you have multiple degree programs listed all of your declared
degree programs will be produced.
To
run an audit – From the Request New Audit page,

Select either ‘Run
Declared Programs Listed:’ or ‘Run Selected Program:’
-
When running a selected
(“what if”) program, choose the major you wish from the drop down box. “What if” audits will be run against the
current catalog listed in the Catalog Year box.

Click the ‘Submit a New
Audit’ button at the bottom of the page
-
In either
case, planned course(s) can be included in the audit run if desired by clicking
the ‘Include Planned Courses’ box.

Viewing Your
Interactive Audit –
Clicking on
View Audits displays a listing of all audits currently being stored. To view an audit that has already been
requested, select the ‘Open Audit’ button.
Once you have
clicked on the ‘Submit a New Audit’ button on the Request Audit page, you will
be taken to the View Audits page. If an
audit has just been requested the screen will continue to refresh to bring the
newly requested audit into the list. To
view the new audit, select the ‘Open Audit’ button.
You may delete individual audits by placing a check
mark ü in the Select for
Deletion box or by selecting ‘Select/Deselect All’ to delete all audits. Then click the ‘Delete’ button.

Reading your interactive audit:
Header information,
contained at the top of the Interactive audit, displays student information for
that audit run.

The
Interactive Audit contains various charts to graphically depict your degree
progress. Clicking on these charts will
allow you to access more detailed information.
The
KAPS legend at the top of the audit includes special symbols and grades that
may appear in the audit. Please refer
to this legend when reading the report.
Additional Values:
Green check – requirement is
complete.
Red X – requirement is not complete
IP Check – requirement completed with in-progress
coursework
Calendar Check – requirement
completed with planned coursework
The
The
report completion status line indicates whether or not the degree program is
complete.
The
‘Courses by Term’ section is a listing of your coursework by term. You may also view all of your courses by
clicking the ‘View Course History’ link located in the Header of your
interactive audit.
The
KAPS report for four-year degrees generally is arranged in six sections
including the summary of minimum university requirements, liberal education
requirements (LERs), diversity requirement, major requirements, electives, and
transfer module. This summary of
minimum university requirements is a list of the minimum requirements needed to
graduate including hours, GPA, orientation, residency, diversity, and
upper-division hours. It also displays
in-progress coursework and coursework excluded from hours earned toward
degree. LERs include English,
mathematics and/or foreign language, humanities and fine arts, social sciences
and basic sciences. The diversity
requirement is composed of one domestic and one global focus course. Major requirements are those courses
required in the major including major courses, major electives, and writing
intensive. Elective courses are listed
near the end of the report after the major requirements. The transfer module facilitates transfer
among
Two-year
degrees contain a summary of minimum university requirements, technical
courses, related courses, and general studies courses.
The
end of the report contains information regarding exceptions that have been
applied to your degree program.
Exceptions are advisor-approved modifications to your degree program.
The
requirement completion status is indicated with one of the following symbols:
Green check – requirement is
complete.
Red X – requirement is not complete
IP Check – requirement completed with in-progress
coursework
Calendar Check – requirement
completed with planned coursework
Within
a requirement there may be one or more sub-requirements. A sub-requirement’s completion status is
indicated with a + (complete) or – (incomplete). A sub-requirement will have a title line which explains how it
must be fulfilled. There is a ‘SELECT
FROM’ line which lists courses that can be taken to fulfill this
sub-requirement. As you register or
complete these courses they will be listed between the title line and the
‘SELECT FROM’ line. If you have not
registered for one or more of the courses, you can see how they will apply to
your audit by adding them as a ‘Planned Courses’.
Planned
courses will appear on the audit with a grade of ‘PL’. For more information on planned courses, see
the planned courses help below.
Moving
a course into your COURSE CART –
Ø
After
opening a requirement marked with a red
mark, you can select a course from the list
of courses which you need to complete to fulfill your degree requirements

Click
on the desired course –

Ø
A
pop up box will appear for the course you just selected from your interactive
audit.
Ø
If
you wish to add this course to your course cart, click the ADD button. The course will then be added to your course
cart.

Making a course in your
COURSE CART a …..PLANNED COURSE…..
Ø
From
your interactive audit you can select course(s) in your COURSE CART to move
into your KAPS report as PLANNED COURSE(S) so that you can see how taking that
course will assist in your degree progress.
Ø
Once
you have some course(s) in your course cart, you may bring them into your KAPS
report by marking them as PLANNED.

ââââTo see how the planned courses have effected your
degree progress, you now have to request that a new audit be run. To include the planned courses be sure to
check ü the ‘Include Planned
Courses’ box when you submit your request for a new audit from the ‘Audit
Request’ page.
Planned
Courses Drop Down Box:
Planned courses are courses
that you would like to take or anticipate taking in the future. They are used to assist you in planning your
degree program. Running a KAPS report
which includes planned courses will show their applicability to your degree
program. These courses can be added
through the Add Planned Courses tab or through your interactive audit course
cart.
Viewing
Planned Courses –
The Viewing Planned Courses page displays a list of planned courses that
have been added. Courses can be
filtered to a particular year/term by using the drop-down box.
When viewing
the Course Year of the planned course –
-
Year = complete 4 digit year (e.g.
2005)
-
Term = 2 digit code for the
term (e.g. 200506)
o
06 = a fall term
o
02 = a spring term
o
03 = a summer term
Planned courses may be edited by clicking on the Course
Number. A form will appear with the
course’s information, allowing changes to be made. Should a change be made, the ‘SaveEdit’ button will save the
changes.

Creating
a PLANNED COURSE through the Planned Courses tab…..

Click
on the Planned Courses tab
Ø
From
the drop down box click on Add Planned Courses

Ø
Chose
the YR/TM (Year and Term) you wish to have the planned course attached to from
the drop down box
Ø
Complete
the Course –

Positions
1-4 are the subject area of the course (e.g. MATH)
·
Positions
5-9 are the course number (e.g. 11011)
Ø
RCredit
– if you know the credit hours of the course you may list it here
Ø
Grade
– if you wish to have your audit run with a projected grade in mind, place the
grade here
Ø
Title
– you do not need the course title
Ø
Memo
– you do not need to place any memo here except for your own information
Ø
Click
on the SaveAdd button
ââââTo see how the planned courses have effected your
degree progress, you now have to request that a new audit be run. To include the planned courses be sure to
check ü the ‘Include Planned
Courses’ box when you submit your request for a new audit from the ‘Audit

Viewing
the PLANNED COURSE(S) in your KAPS report
Ø
Planned
course(s) in your interactive audit will show with a grade status of PL

Ø If the planned course(s) completes
a requirement, the requirement will have a status of
(blue
check mark with calendar)
Ø If the planned course(s) do
not complete a requirement, the requirement status will show with a red
mark
Deleting a PLANNED COURSE…
Ø You or your advisor
may delete any PLANNED COURSE(S) by clicking on the Planned Courses tab and
going to View Planned Courses
Ø Put a check mark ü in the Select for Deletion box
Ø Click on the
Delete Courses button to delete the planned course
Ø REMEMBER once you have deleted
the planned course it will no longer show in your interactive audit
Logging Out of KAPS
Selecting ‘Exit KAPS’ will exit you from KAPS and return you to
Web for Students.
